ICANotes vs Osmind

Updated October 21, 2026

Psychiatry practices that offer newer depression treatments, such as Spravato nasal spray, ketamine, or magnetic stimulation (TMS), carry heavier paperwork than a talk therapy office, from treatment monitoring to drug purchasing and insurance approvals. ICANotes and Osmind both sell records software to psychiatrists, and the gap many practices miss is how far each one reaches past the chart: ICANotes is a structured EHR priced by clinical role, while Osmind adds treatment workflows, billing, and prior authorization services built for those newer options. Where your practice sits on that line decides the better fit, so we compared the two.

Our analysts compared ICANotes and Osmind on price, focus, note writing, billing help, rating scales, and practice results, using the HIR review of each company and each vendor's own pricing page checked this month. In the following sections, we compare them in one table, describe the practice each one suits, and list Osmind's partnerships this year.

Which fits which buyer

Start with the treatments your practice offers.

Choose ICANotes if

  • Your practice is mostly medication management and therapy.
  • You want notes built from menus that hold up in payer audits.
  • You want a posted price for each clinical role, including non-prescribers.

Choose Osmind if

  • You offer Spravato, TMS, or ketamine.
  • You want billing and prior authorization handled by your EHR vendor.
  • You want group purchasing for newer psychiatric drugs through your EHR vendor.

Verdict

Osmind scores higher and fits psychiatry practices built around interventional treatments that want billing help from the same company. ICANotes fits psychiatrists and therapists who want structured, audit-ready notes at a clear price for each role.

Neither is built for residential addiction care, so programs with beds and detox should look at Kipu Health or BestNotes.

Ask Osmind which of those programs your practice can join on its current plan.

Methodology

Each row comes from the HIR reviews of ICANotes and Osmind, scored under the HIR method, and from each vendor's public pricing where it exists. Any published price for ICANotes or Osmind was checked on that vendor's own site on October 21, 2026.

A green check marks a clear edge for ICANotes or Osmind only where their review scores differ by at least 0.3 points or the two reviews show a plain difference. Rows with nothing published for either ICANotes or Osmind are left out, and time to full value for each adds up the rollout stages in its review.
